Performs diverse and advanced administrative and secretarial support to Long Beach Medical Center. Applies knowledge of business and applications to research topics, investigate problems or questions and provide necessary information and/or achieve resolution. Functions as a key point contact and customer service and is accountable for achieving satisfactory and positive outcomes with key contacts. Facilitates meeting logistics, agendas and minutes for Governing Board and associated subcommittees. Composes memorandums and reports. Uses discretionary initiative and judgement in handling sensitive and confidential details. Demonstrates supervisor interpersonal and administrative skills commensurate with position.
Essential Job Outcomes & Functions
Prepares reports and records, makes appointments and keeps the calendar for the manager and support groups.
Screens visitors and telephone calls, routes incoming and outgoing mail.
Attends staff meetings and records minutes. Gathers information, coordinates meeting schedules, produce material on computer and provides other administrative support as needed for meetings, seminars, speeches, lectures. Assembles, prepares, and distributes handout material.
Prepares confidential and special reports including periodic statistical reports. Responsible for certain work tasks that require independent judgement, confidentiality and action to ensure accurate, timely, successful completion.
Acts as a liaison between the department and the manager. Develops and recommends office procedures to ensure overall smooth office operations.
Communicates effectively in verbal and written form including the ability to provide A/V for presentations.
