Vanderbilt Vaccine Research Program, Sr. Administrative Assistant
JOB SUMMARY:
This new position would serve as the senior administrative assistant for the Vanderbilt Vaccine Research Program supporting the Division Director and providing administrative support to the Administrative Officer as well as the VVRP team. We are looking for an individual with a strong sense of teamwork and cooperation. Someone who has strong customer service skills and able to communicate effectively in both written and oral communication. The individual will report jointly to the Division Director and Administrative Officer. This position will provide the administrative support needed in VVRP to support the director and clinical and grant activities of the VVRP team
Department/Unit Summary:
The Vanderbilt Vaccine Research Program was formed in 2001 to conduct clinical and translational research in vaccines, vaccine preventable diseases, and pediatric infectious diseases. Led since 2014 by Dr. Buddy Creech, Associate Professor of Pediatric Infectious Diseases, the mission of the VVRP is to reduce the burden of infectious diseases worldwide through the discovery, evaluation, and delivery of effective and safe vaccines and therapeutics.

KEY RESPONSIBILITIES:
- Performs executive calendaring; task tracking; coordinates meetings and conference engagements; performs event planning as required; booking travel and processing of reimbursements for the Division Director.
- Performs administrative support duties that may include but are not limited to monthly budget reconciliations; compiles data and summarizes findings.
- Performs a variety of administrative support duties that may include, but not limited to, discreetly handles confidential and time-sensitive documents; manages timely submission of journal articles, book chapters for the Division Director.
- Prepares reports and other documentation as requested for the Division Director and Administrative Officer.
- Events coordinator for division (parties, special lunches, visiting speakers, seminars, travel, accommodations, itineraries, coordinator for day of meetings, catering, reimbursements).
- Ability to think and function independently, manage multiple, concurrent projects, meet deadlines, and adapt to changing priorities.

Position Qualifications:
High School Diploma or GED (or equivalent experience) and 4 years relevant experience. (**strong work-ethic, with a proactive, positive disposition, excellent communication skills (both oral and written) and commitment to high quality results strongly preferred**)
